Activity: Project Planning
Overview
Project planning involves documenting the project process from beginning to end and associating a time frame to each activity in the process. The Project Manager then assigns a person or team to each activity and makes sure that they keep to the time frame alotted to them. If the time frame or the task is unreasonable then the project plan has to be adjusted in order to solve the problem.
Relevance
CD-ROM and Web project planning was necessary.
Objectives
  • Compile a list of activities and the agents which are needed to complete the project in a time-based hierarchy
  • Present the project plan to the group
  • Make any adjustments to the plan as needed (This could be time changes or activity changes)
  • Make sure the plan is being followed as closely as possible
Items needed from others to begin activity
  • Having the storyboard available may give an idea of what and who should be in the project plan. If it is not available thenmeeting with the group to discuss an outline of the project is beneficial.
  • It is helpful to integrate the CD and Web project plans since many of the activities overlap. Also, this may help each team (CD and Web) know where the other is in the project.
Activities
Creating a Project Plan Document
The process involved creating a Pert or Gantt chart using Microsoft Project (or some other project planning software) and inputting the activites, agents, and the time frame alotted to each activity in the project from beginning to end.
Presentation
The project plan must be presented to the group for two reasons: First, the plan needs to be checked for clarity and consistency. Second, any problems discovered need to be addressed and rectified.
Integrating project plans
This process can also be done through a software package such as Microsoft Project. Both plans need to be studied to see where they overlap and where they deviated and a final project plan needs to be created from that information.
